When you submit the triage form or contact us directly, we collect the following information:

• Your name
• Your company name
• Your email address
• Your phone number
• Job details — the nature of the work, site location, and scope of the activity you need documented

We do not collect payment card details directly. Payments are handled by third-party providers and subject to their own privacy policies.

We collect your data for one purpose: to provide the document production service you have requested.

Specifically, we use it to assess your job, confirm your quote, produce your risk assessment or RAMS document, and communicate with you throughout the process.

We do not use your data for marketing without your explicit consent.

Where you have submitted a triage form and we are producing a document for you, the legal basis is contract performance — processing is necessary to deliver the service you have requested.

Where you have made an initial enquiry and no contract has been entered into, the legal basis is legitimate interest — we have a legitimate interest in responding to your enquiry and providing a quote.

We retain your data for 3 years from the date of your last job with us. After that period, your data is deleted from our systems.

If you made an enquiry but no job was completed, we retain your data for 12 months and then delete it.

We use the following third-party services to operate our pipeline. Each acts as a data processor — they process data on our behalf and are not permitted to use it for their own purposes.

• Typeform — intake form. Your form responses are received and stored by Typeform before being passed to our production system.
• Airtable — job management. We record job details and correspondence in Airtable.
• n8n — automation. Our pipeline uses n8n to route data between systems. No data is stored permanently in n8n.
• Zoho Mail — email. We use Zoho Mail to send and receive correspondence related to your job.

We do not sell your data. We do not share your data with any third party outside the services listed above.

Under UK GDPR, you have the right to:

• Access the data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Object to processing in certain circumstances

This website does not currently use cookies. If this changes, this policy will be updated before any cookies are set.

Washington Group International Ltd is in the process of registering with the Information Commissioner's Office (ICO) as a data controller. Our registration number will be published here once confirmed.
